About this standards compliance checklist

Site standards slip for predictable reasons: people are busy, information is scattered, and issues only get spotted when they’ve already turned into problems. This site standards compliance checklist gives operations teams a practical way to verify what matters, capture non-compliance early, and close the loop with clear actions.

Use it for routine site checks, manager walkarounds, or structured audits. The aim is simple: stop guessing. Start knowing — what’s compliant, what isn’t, and what happens next.

What this checklist covers

  • Preparation checks so you start with the right context, people, and standards
  • In-process checks to confirm standards are being followed during live operation (not just documented)
  • Escalation criteria to make “critical” issues objective and immediate
  • Close-out actions so findings turn into owners, due dates, and follow-up

When to use a site standards compliance checklist

This checklist works best when you need consistency across sites and shifts, including:

  • Daily or weekly standards checks
  • Area manager or operations team site visits
  • Pre-peak readiness checks
  • Post-incident reviews where standards may have drifted

How to run the check without slowing the site down

  • Start with the highest-risk areas (safety, compliance, security, critical processes).
  • Spot-check understanding by asking one or two colleagues what’s changed today and what matters most.
  • Capture evidence as you go (notes and outcomes), rather than relying on memory at the end.
  • Escalate immediately if there’s a safety risk or a legal or regulatory breach.

Escalation criteria you can defend

If you’re unsure whether to escalate, use this rule: if the issue could cause immediate harm, a legal or regulatory breach, or significant loss, treat it as critical. Stop the process or restrict the area if needed, then escalate to the responsible manager and the right central support.

Close-out that prevents repeat issues

Non-compliance repeats when actions are vague. Close out every finding with a clear owner, a due date, and a follow-up method. Where issues keep coming back, record the likely root cause (knowledge, process, time, tools, supply, or local workaround) so you fix the system — not just the symptom.

Want to run this digitally with real-time visibility?

Ocasta replaces paper checks and spreadsheet chasing with a live view of compliance across every site. Teams complete checks on any device, managers see issues as they happen, and actions stay attached to the original finding — so you always know what’s working and what needs fixing.

Included questions

Here's what's included in this standards compliance checklist:

Before you start (6)

Set context, confirm access, and make sure you can evidence compliance without slowing the operation down.

  • Text

    What is the site name?

Use the official site name as shown in internal systems.

  • Text

What is the site ID or code?

If you do not have one, record 'N/A'.

  • Yes/No

Is the check being completed at the correct date and time?

If completing outside the expected window, note why in the comments later.

  • Person

Who is the responsible manager on duty?

Select the person accountable for addressing any non-compliance today.

  • Yes/No

Do you have the latest standards and policy updates available?

If not, pause and get the current version before marking compliance.

  • Yes/No

Are PPE and access requirements met for all areas you will check?

Do not enter restricted or unsafe areas without the right controls in place.

Site readiness and safety (6)

Confirm the basics are in place: safe environment, clear routes, and visible controls.

  • Yes/No

Are entrances, exits, and fire routes clear and unobstructed?

Include back-of-house corridors, fire doors, and assembly route signage where applicable.

  • Yes/No

Is fire safety equipment in place and accessible?

Check extinguishers, alarms, call points, and signage are visible and not blocked.

  • Yes/No

Is first aid provision available and in date?

Confirm kit location is known and contents are not expired or missing key items.

  • Yes/No

Are slip, trip, and fall hazards controlled?

Floors dry, spill kits available, cables managed, and wet floor signage used when needed.

  • Yes/No

Is the incident and near-miss log up to date?

Confirm recent incidents have actions assigned and not left open without a plan.

  • Yes/No

Are key security controls working as expected?

Examples: restricted doors, alarm status, key control, and secure storage areas.

Standards in action (6)

Check that standards are being followed during live operation, not just that they exist on paper.

  • Yes/No

Does the team understand today’s operational changes and priorities?

Spot-check one or two colleagues. If knowledge is inconsistent, it will show up in execution.

  • Yes/No

Are critical processes being followed consistently?

Choose the highest-risk processes for your site (for example: cash handling, age checks, lock-up, equipment start-up).

  • Yes/No

Have required checks been completed on time for this shift?

If anything is overdue, record what and why, then assign an immediate action.

  • Yes/No

Is required documentation available and current?

Policies, risk assessments, logs, certificates, and permits should be easy to find and in date.

  • Yes/No

Does site presentation meet the required standard?

Check key customer-facing and operational areas for cleanliness, organisation, and signage.

  • Dropdown

What is the current equipment condition and maintenance status?

Choose the best match based on what you can evidence right now.

Options: All in service and within maintenance schedule, Minor issues logged with a clear plan and timescale, Critical issue impacting safety or operation, Not sure — cannot evidence maintenance status

Non-compliance and escalation (5)

Make escalation objective. If the risk is high, do not wait until the end of the checklist.

  • Yes/No

Have you found any critical non-compliance?

Critical means: safety risk, legal or regulatory breach, security risk, or anything that could cause immediate harm or significant loss.

  • Dropdown

If yes, what action was taken immediately?

If you selected anything other than 'Issue resolved immediately', include details in the close-out notes.

Options: Issue resolved immediately, Area or process stopped until safe, Escalated to responsible manager, Escalated to central support or compliance, Emergency services contacted
  • Number

How many non-compliance items were identified in total?

Count anything that needs action, even if it is quick to fix.

  • Yes/No

Is any issue a repeat from a previous check?

Repeat issues usually mean the root cause has not been addressed (time, training, tools, or ownership).

  • Dropdown

What is the most likely root cause category?

Pick one. This helps focus fixes on the system, not the person.

Options: Knowledge gap (not sure what good looks like), Process gap (steps unclear or missing), Time or staffing constraint, Tools or equipment issue, Supply or stock issue, Local workaround became normal, Other

Close-out and sign-off (5)

Turn findings into action and leave a clear record of what happens next.

  • Yes/No

Have actions been assigned with owners and due dates?

If an action has no owner or due date, it is not an action — it is a hope.

  • Dropdown

    Is follow-up required?

Choose how the follow-up will be verified.

Options: No — all issues resolved, Yes — manager to confirm completion, Yes — re-check required within 7 days, Yes — re-check required within 24 hours, Yes — escalate for formal audit
