Free scanning app to minimise COVID-19 and GDPR risk

To help organisations adapt to our changing workplace, we’re launching a free version of Ocasta Scan.

Unlike other apps available, Ocasta Scan does not store the scans in the app or the cloud, helping comply with data protection requirements and GDPR.

Ocasta Scan helps teams capture paperwork with less contact

Almost every organisation still depends on paper in some way. During the coronavirus pandemic, that created a clear challenge: how do teams capture and share paperwork without adding unnecessary contact?

People should not have to handle piles of paperwork or wait in line at a post office to send documents. You can wipe down and sanitise mobile phones, pens, and boxes, but cleaning paper is not easy. At the time, guidance around reducing shared surfaces made it even more important to minimise unnecessary handling.

That is why we launched a free version of Ocasta Scan: to help organisations adapt quickly to a changing workplace and capture documents with less contact.

Unlike many scanning apps, Ocasta Scan did not store scans in the app or in the cloud. That made it easier for organisations to manage data protection requirements, support GDPR-conscious workflows, and use zero-touch automatic scanning.

How Ocasta Scan works

The app works in three simple steps:

  1. Scan: capture the document straight from an iPhone or iPad using the device camera.
  2. Send: share the scan using the apps or Mail account on the device, or print a copy with AirPrint.
  3. Delete: nothing was saved in the app or the cloud.

Who Ocasta Scan was for

Ocasta Scan was useful for teams that needed a quick, simple way to capture paperwork while reducing unnecessary handling.

  • Law firms whose staff were working from home and needed a compliant way to scan paperwork or receive documents from customers.
  • Retailers that needed copies of customer documents, such as proof of residence for finance applications, while minimising contact.
  • Field sales teams that needed to capture signed contracts quickly.
  • Engineers who needed proof of customer sign-off.
  • HR teams that needed to capture new starter documents and right-to-work information securely.
  • Individuals who wanted to share documents without filling their device with scans.
  • Healthcare workers who regularly handled patient paperwork.

Ocasta Teams

Scan Pro was included with Ocasta Teams, our employee platform for better comms, knowledge, and compliance across the workforce. Scan Pro removed the ability to share via any app and included a secure email gateway, helping prevent items from being stored in a user’s sent items.

Ocasta Scan Enterprise

Ocasta Scan Enterprise connected with existing systems such as CRMs or order portals, supported digital signing for PDF documents and contracts, and could enforce auto-timeout to clear data.
